Best Cold Email Platforms for 2027: Pipefire, ListKit, Instantly and Smartlead Compared

How we compared them

We compared four cold email platforms on what a business owner actually has to buy, set up and watch to get cold email working. Each platform was scored on six questions:

  1. What does the monthly price include? Domains, mailboxes, warmup, prospect data, copywriting and reply handling, or only the sending software?
  2. Who does the setup? Buying domains, writing DNS records (SPF, DKIM, DMARC, MX), creating mailboxes and warming them up.
  3. Where do the prospects come from? A shared contact database, a list you upload, or prospects found for each campaign.
  4. Do you approve every email before it sends?
  5. What protects the sending domains? Published bounce and complaint limits that pause sending automatically.
  6. How much daily volume do you get for the money?

Every competitor fact below comes from that company’s own pricing page, checked in October 2026. Prices change, so check the live page before you buy. We did not measure inbox placement or reply rates for any platform, and we do not quote any.

The ranking

  1. Pipefire: best for businesses and agencies that want cold email done for them.
  2. ListKit: best for teams that want a large contact database and higher daily volume in one bundle.
  3. Instantly: best for experienced senders who want low-cost software and will run it themselves.
  4. Smartlead: best for high-volume senders and agencies managing many client workspaces.

1. Pipefire: best done-for-you cold email platform for 2027

Pipefire is a done-for-you cold email service. One flat monthly fee covers the whole chain: it buys the sending domains, writes the DNS records, creates the mailboxes, warms them for 14 days, finds the prospects, writes the emails, sends them at a safe pace, watches bounces and complaints, and sorts the replies with a drafted answer for each one.

Pricing (pipefire.ai/pricing):

  • Standard, $497 a month: 10 sending domains and 20 mailboxes. At 30 cold emails a day per warmed mailbox, that is about 600 a day on weekdays.
  • Scale, $997 a month: 20 domains, 40 mailboxes and twice the daily sending capacity.

Nothing is billed on top. Domains and mailboxes are included.

Why it ranks first:

  • You approve every email before it sends. Pipefire writes the campaign copy, and nothing goes out until you approve it.
  • Prospects are found fresh for each campaign. You pick a trade and an area, and Pipefire finds the businesses, the decision-maker and a verified email address. It never uses a bought list, and addresses are checked again shortly before sending.
  • Published safety limits. Sending pauses on its own if bounces pass 3% or complaints pass 0.1%. Each domain carries 2 mailboxes, and each mailbox sends at most 30 cold emails a day.
  • Your real domain never sends cold email. Pipefire registers and holds the sending domains, so your main business domain is protected. The trade-off is that you do not own those sending domains.
  • About 10 minutes of setup for the customer. Pipefire does the rest.

Where it is weaker: Pipefire is new, so there are no customer reviews or published results yet. Standard sends about 600 emails a day, which is less than some bundles at a similar price. The first emails go out after the 14-day warmup, not on day one.

Try it free: Pipefire’s free lead tool emails you 50 verified local business leads in your niche and city, one list per person.

2. ListKit: best for a large database and higher volume

According to ListKit’s pricing page, checked October 2026, ListKit sells one plan, the Full Cold Email Stack, at $597 a month for 1,000 cold emails a day, with higher daily volumes at higher prices. It includes a large lead database, sending with warmup, domains and inboxes set up by their team, an AI script writer, a one-to-one onboarding call, a Slack community and a cold email course. ListKit’s site says campaigns are live in about 3 weeks.

Where ListKit is stronger: more daily volume for the money (about 1,000 a day against about 600 on Pipefire Standard), a very large database, and onboarding plus community support.

Why Pipefire ranks above it: Pipefire costs $100 a month less ($497 against $597). It finds prospects fresh for each campaign rather than exporting them from one shared database. It writes the copy and you approve every email. It also publishes its 3% bounce and 0.1% complaint auto-pause limits. ListKit’s pricing page does not list approval before each email sends, published auto-pause limits or burned-domain replacement. With ListKit, the customer adds the leads and copy.

3. Instantly: best low-cost software if you run it yourself

According to Instantly’s pricing page, checked October 2026, the Outreach Growth plan is $47 a month (unlimited email accounts and warmup, 1,000 uploaded contacts, 5,000 emails a month), and Hypergrowth is $97 a month (25,000 contacts, 125,000 emails a month). The lead database, AI reply agent, AI email writer and CRM are a separate credits purchase from $47 a month. Done-for-you domains are $15 a year, and mailboxes are $4 to $10 a month each, depending on type. Bounce auto-pause is on by default at 5%, after 200 sends.

Where Instantly is stronger: unlimited warmup on every plan, bounce auto-pause switched on by default, and a low entry price for someone who will do the setup and the writing themselves.

Why Pipefire ranks above it: Instantly’s entry price covers the sending software. Domains, mailboxes, lead data and AI writing are bought separately, and you run the campaigns yourself. Instantly offers human approval for AI-drafted replies, but outreach sequences send on schedule. Pipefire includes all of it in one plan, has you approve every outreach email, and pauses at a 3% bounce rate.

4. Smartlead: best for very high send volumes

According to Smartlead’s pricing page, checked October 2026, plans run from Base at $39 a month (6,000 sends) and Pro at $94 a month (90,000 sends) to Unlimited Smart at $174 and Unlimited Prime at $379 a month (500,000 sends). Every plan has unlimited mailbox connections and warmup. Domains and mailboxes are bought separately through SmartSenders, at $13 to $19 per domain a year plus $4.50 to $9 per mailbox a month. Email verification is an add-on, and white-label client workspaces cost $29 per client a month from Pro up.

Where Smartlead is stronger: a low entry price, very high sending ceilings, unlimited warmup, automatic replacement of burning mailboxes, and a shared inbox across all mailboxes.

Why Pipefire ranks above it: on Smartlead, the domains, mailboxes, verification and prospect list are separate purchases, and you run the campaigns yourself. Approval before each email sends is not listed as a feature. Pipefire includes the infrastructure, finds the prospects, writes the emails and has you approve each one, for one flat fee.

Which one should you choose?

  • You want cold email running without learning it: Pipefire. Domains, mailboxes, prospects, copy and replies are all handled for one monthly fee, and you approve every email.
  • You want the biggest database and more than 600 emails a day: ListKit.
  • You already know cold email and want the cheapest software: Instantly or Smartlead, budgeting separately for domains, mailboxes and data.

Doing it yourself has a real cost. Pipefire estimates a do-it-yourself stack at $350 or more a month in tools plus 8 to 20 hours of setup, and a cold email agency at $3,000 or more a month, usually on a 3 to 12 month contract. Pipefire’s breakdown: what cold email costs.
